Open Position:

Interim Treasurer

Time Commitment: 5 – 8  hours / week
Minimum Member Status: Supporting

Overall mission:

The Treasurer is responsible for maintaining accurate financial records for the chapter and reporting to the board at monthly board meetings. The Treasurer actively evaluates the chapter’s spending and advises on adjustments as needed. The Treasurer makes all deposits and handles all expenses on behalf of the chapter, which includes filing the chapter’s taxes.

The Treasurer works closely with the President, Vice President and Secretary to advise and execute on the chapter’s missions.

Responsibilities include:

  • Update Quickbooks with expense and income transactions each month based on the checking account register
  • Work with the CPA to be sure all proper paperwork is filed with the IRS and the Oregon Department of Revenue on an annual basis
  • Provide financial information requested by the President to support preparation of the annual report and send copies of all tax forms filed with IRS and ODR to National AIGA
  • Read and know the content of the National AIGA finance resource book
  • Work with the Executive Committee to keep bylaws, policies and procedures up to date
  • Work with Event Chairs on updating budget, paying expenses for their event and filing a financial summary of the event for chapter records
  • Provide a financial plan to board for fund-raising needs on an annual basis.
  • Interface with bank on financial matters and accounts
  • Check the chapter post office box on a monthly basis and distributing mail appropriately to board members in a timely fashion, and opening bank statements and legal papers
  • Serve on the Executive Committee to help brainstorm and establish business best practices as well assist in providing strategic vision of chapter mission, goals and execution

  • Desire to make a difference and contribute to something bigger than yourself

  • Legal background or experience

 

You need to know how to use most of the following programs

  • Quickbooks, Paypal, Basecamp 3, Eventbrite, G Suite, Slack, and WordPress

 

Shared Responsibilities of the Board

  • Attend mandatory internal events, monthly board meetings, and retreats
  • Show up and represent at AIGA Portland events (we suggest attending as many as your schedule allows)
  • Proper personal time-management in order to complete the responsibilities outlined in this job description
  • Ensure sponsors and partners are treated well and represented at events and online content
  • Demonstrate understanding and proper-use of AIGA brand guidelines
  • Actively engage in communications and meetings with representatives from other creative groups, firms, businesses, or other like-minded organizations that will create sponsorships and partnerships with AIGA Portland
  • Be able to properly speak about what AIGA is and promote AIGA membership
  • Actively document processes and resources to handoff and onboard the next director in this position
  • Must properly represent the chapter and adhere to the AIGA Standards of Professional Practice
